Lead tracking in Excel vs a CRM: when the spreadsheet stops working

By the OakDeal team ·

Short answer

You can track leads in Excel or Google Sheets with columns for date, name, phone, source, need, status, temperature, owner, last contact, next follow-up date and notes. It works for one person and a small number of leads. Move to a CRM when several people share leads, follow-ups are missed, leads come from WhatsApp and many other channels, or you need reports without manual work.

Almost every business starts tracking leads in a spreadsheet. That is fine. The problems start quietly, when a few follow-ups are missed, then a few more, and nobody notices until sales drop.

How to set up a lead tracking sheet

Use one row per lead and these columns:

Column Example Tip
Date added 04-11-2026 Helps measure response time
Name Priya Sharma
Phone +91 98xxx xxxxx One format for everyone
Source Instagram ad Use a dropdown: Ad, Website, WhatsApp, Referral, Walk-in
Need 3BHK under ₹1 cr What they asked for, in a few words
Status Contacted Dropdown: New, Contacted, Visit booked, Quoted, Won, Lost
Temperature Warm Hot, Warm, Cold. See hot, warm and cold leads
Owner Rahul Who is responsible
Last contact 04-11-2026
Next follow-up 06-11-2026 The most important column
Notes Wants east-facing, loan needed Short

Daily routine: every morning, sort by Next follow-up and work every row that is due or overdue. After each contact, update Last contact, Status and set a new Next follow-up.

Useful extras in Google Sheets: data validation dropdowns for Status and Source, conditional formatting to turn overdue follow-ups red, and a filter view per salesperson.

Signs you have outgrown the spreadsheet

  • Copy-paste from WhatsApp. Leads arrive in chats and someone has to type them into the sheet. Many never make it.
  • Overdue follow-ups pile up. Nobody opens the sheet on busy days.
  • Several people edit it. Rows get overwritten, statuses conflict, nobody knows who called whom.
  • No history. You can see the last note, not the conversation.
  • Leads leave with people. Salespeople keep their real notes on their phones.
  • Reports take an afternoon. Leads by source, wins by person and response time all need manual work.
  • Phones. Spreadsheets are painful on a phone, which is where your team works.

If three or more of these sound familiar, the sheet is costing you sales.

What a CRM does that a sheet cannot

Spreadsheet CRM
Capture leads Typed by hand Automatically from WhatsApp, forms and imports
Conversation history None Every message and call outcome on the lead
Follow-ups A date you must remember to check Reminders and automatic follow-ups
Who to call next Sort and filter by hand A ready Today list
Lead scoring Manual Automatic, with reasons
Team access Shared file, conflicts Roles, assignment, one source of truth
Reports Built by hand Ready: leads, calls, wins by source and person
Mobile Awkward Built for phones

Moving from Excel to a CRM

  1. Clean the sheet: remove duplicates, standardise phone numbers.
  2. Export as CSV (File → Download → CSV in Google Sheets, or Save As in Excel).
  3. Import into the CRM and match the columns.
  4. Check duplicates the CRM finds.
  5. Assign owners and set the first follow-up date for open leads.
  6. Stop using the sheet on the same day, so there is one source of truth.

OakDeal imports a CSV from Excel or Google Sheets, lets you match the columns, checks for duplicates and shares the leads out among your team in turn. You can export any filtered list back to CSV at any time. From then on, WhatsApp chats become leads automatically, follow-ups run on schedule and the Today list tells everyone who to call. Frequently asked questions

Can I manage leads in Excel?

Yes, for a small number of leads and one or two people. Use one row per lead, a status column with fixed options, and a next follow-up date you sort by every morning.

What columns should a lead tracking sheet have?

Date added, name, phone, source, what they need, status, temperature (hot, warm, cold), owner, last contact date, next follow-up date, and notes.

What is the difference between a CRM and Excel?

Excel is a blank table you update by hand. A CRM connects to your channels, captures leads automatically, keeps the conversation history, reminds people about follow-ups, can send messages and produces reports without manual work.

How do I move leads from Excel to a CRM?

Export the sheet as CSV, then import it into the CRM and match the columns. Good CRMs check for duplicates during the import.
