WhatsApp Business app vs WhatsApp Business API: which one do you need?

By the OakDeal team ·

Short answer

The WhatsApp Business app is free and fine for one owner handling a few chats on a phone. The WhatsApp Business Platform (API) is for teams: many people on one number, integration with a CRM, AI replies, automatic follow-ups and reports. The API charges per template message and needs a provider or CRM to use. Switch when chats are missed, several people need access, or you want automation.

Both are official WhatsApp products for businesses. They solve different problems. The right choice depends on how many chats you get and how many people need to handle them.

When the free app is enough

  • You are the only person replying.
  • You get a manageable number of chats and answer them quickly.
  • You do not need reports, AI or automatic follow-ups.

Make the most of it with a greeting message, an away message, quick replies, labels and a catalogue. See our auto reply samples.

Signs you have outgrown the app

  • Chats are missed or answered hours late.
  • Two or three people pass one phone around, or share a WhatsApp Web login.
  • You run ads that bring dozens of chats a day.
  • You want leads answered at night and on Sundays.
  • Follow-ups depend on someone remembering.
  • You cannot tell how many leads came in last month or how many were won.

At that point, a WhatsApp CRM built on the API pays for itself. Read what a WhatsApp CRM is.

How the API works, briefly

  1. You create (or use) a Meta business portfolio.
  2. A provider or CRM connects your number through Meta, often with a few clicks using Embedded Signup.
  3. Customers message you as usual. Messages arrive in the software instead of the phone app.
  4. Inside the 24-hour window after a customer’s message, you reply freely.
  5. Outside it, you send approved templates, charged per message by category. See WhatsApp API pricing in India.

Unofficial tools: avoid them

Some cheap tools automate WhatsApp Web or the app from a browser extension or a server that keeps your session logged in. They are not the API. They break WhatsApp’s terms, and numbers using them for automated or bulk messaging get banned. If a tool asks you to keep scanning a QR code, it is not using the official platform.

Our recommendation

Start with the free app while you are small. Move to the API through a CRM when more than one person needs to reply, when leads come from ads, or when you want AI replies and follow-ups that run themselves.

OakDeal connects to the official WhatsApp Business Platform through Meta’s own sign-up flow. Once connected, every chat becomes a lead in a shared inbox, the AI replies in seconds from your facts, and follow-ups run on schedule.

Frequently asked questions

What does WhatsApp Business API mean?

It is Meta’s official way for software to send and receive WhatsApp messages for a business. Meta now calls it the WhatsApp Business Platform. It has no app of its own; you use it through a CRM or provider.

Can I use the same number on the WhatsApp Business app and the API?

Meta now supports "coexistence" for many numbers, letting a business keep using the app on the phone while connecting the same number to the platform through a provider. Availability and features depend on the provider and region; otherwise a number used on the API must be removed from the app first.

Do I need a website or business verification for the API?

You need a Meta business portfolio. Business verification is needed to raise messaging limits and to get a display name approved, and Meta usually asks for a working business website.

Will my WhatsApp number get banned on the API?

Numbers on the official API are not banned for using automation, but they can be limited or blocked for breaking WhatsApp’s policies, such as spamming people who did not opt in or getting many blocks and reports.
